VOLUNTEERING FOR 2021 HOUSTON CALLIGRAPHY GUILD RETREAT
Would you like to assist with the planning and implementation of the Guild’s Biannual Calligraphy Retreat, which will take place on March 26-28, 2021 at the Westchase Marriott, 2900 Briar Park Drive, Houston, TX 77042? There are many volunteer positions where you can either help beforehand or during the Retreat. Please review the positions below and submit a volunteering form. It takes a small village of members to implement a successful retreat and it is a fun undertaking. PRE-RETREAT ASSISTANCE: PROCUREMENT - Contact vendors that support calligraphy to see if they will donate door prizes, goodie bag items, coupons, or otherwise become a sponsor and follow up with them as needed. Sponsors will be acknowledged at the Retreat and there is a list of past sponsors to work from. New sponsors are welcome too. You will pick up items or arrange for pickup, as necessary and write each sponsor a Thank You note. This is not a huge time commitment but is often a drawn-out process that needs to begin early in the planning process. GOODY BAGS - Fritzi Harry, a longtime Retreat Co-chair, will lead this group. Contact ([email protected]) or speak with her to see how you can help. HOSPITALITY - Set up the Hospitality Suite for the teachers. Plan and buy food, drink, napkins, etc. You will need to bring coolers and containers for setting up on Friday afternoon at the Marriott. You will host during designated times and maintain the readiness of the Suite. Debbie will provide you with a budget for supplies. NAMETAG CREATION - Write names in calligraphy on nametags. This needs to be done after the registration process is completed but before the Retreat and of course, there will be some last-minute changes. Be prepared for that. AT THE RETREAT ASSISTANCE: WELCOMING - Welcome and sign-in participants, hand out name tags, and goodie bags on Saturday morning before and during breakfast. FRIDAY NIGHT DINNERS - We need 4-5 hosts/hostesses to plan dinners at area restaurants. Retreaters will sign up for the dining experience of their choice. Warning: Last time this turned into a fun competition and was a great way to get to know other members. This could be canceled due to new Covid restrictions but we are thinking positively! SHOW and TELL - This is new. The retreat will include Sunday lunch and a display of Members' artwork for all to see. You will coordinate and arrange the display area. You will also arrange a display at the next monthly Guild meeting for all to see. CLASS MONITOR - Every Class needs an assigned Class Monitor who will collect supply fees for the teacher, assist as needed, take pictures during class and write a blurb for the Guild's Handscrit publication about the class. We have 9 classes and will need 9 monitors. SALES TABLE - Coordinate and set up a display of items for sale at the Retreat. Collect and distribute money to vendors.
